The School of Earth, Environment, and Sustainability is seeking an Administrative Services Administrator .

The Administrative Services Administrator will plan, organize, and lead the administrative operational functions for the new School of Earth, Environment, and Sustainability (SEES). In collaboration with the DEO, they will provide oversight, advice, and guidance on the development and implementation of day-to-day office administration. They will also serve as a liaison to other departments across campus, including an important collaboration with the Office of Sustainability. Strategic planning skills are essential, as is the ability to communicate effectively, both orally and in writing. They will also be responsible for maintaining a strong, team-focused environment to enable SEES to fulfill its research, teaching, and service missions.

Key Responsibilities

  • Direct and manage work processes/administrative procedures and policies to increase the efficiency and effectiveness of complex unit operations.
  • In conjunction with the DEO, make high-level decisions regarding operations, finance, and human resources.
  • Design workflows and implement improvements for increased efficiency in administrative operations.
  • Manage facilities and equipment, including maintenance, space planning and allocation, preventive maintenance programs, and equipment contracts, and supplies. Oversee unit space and manage building security including policies, procedures, and access control.
  • Oversee course management including instructional effort deployment, room reservations, MAUI transactions and course enrollments.
  • Oversee graduate assistant (TA/RA) budget and assignment process.

Education Required

  • Master’s degree in business administration, higher education administration, or related field; or an equivalent combination of education and experience.



Required Qualifications

  • Minimum of three (3) years of administrative experience.
  • Demonstrated experience in applying academic policies and procedures and supporting a complex administrative office of individuals with a variety of backgrounds and perspectives.
  • Demonstrated experience leading, motivating, evaluating, and rewarding personnel, including experience supervising administrative staff.
  • Record of demonstrating a high level of integrity, dependability, discretion, and confidentiality in conducting job responsibilities. Demonstrated ability to address complex and sensitive administrative matters with diplomacy and effectiveness.
  • Extensive knowledge of and ability to utilize tools, techniques, and processes for gathering, reporting, and disseminating data using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.); extensive experience using Zoom or other remote applications for remote collaboration.
  • Demonstrated effective oral and written communication; demonstrated ability to communicate clearly and build strong professional working relationships.
  • Demonstrated extensive experience managing multiple concurrent objectives, projects, groups, or activities, using effective judgement to prioritize work and resource allocation and navigate conflicting deadlines.
  • Demonstrated strong attention to detail and strong problem-solving skills.

  • Working knowledge of University of Iowa policies and procedures.
  • Experience working in a higher education setting.
  • Working experience in change management techniques for project execution.
