Job Summary:
The Maintenance Clerk plays a critical role in supporting the maintenance department by ensuring accurate record-keeping, inventory management, and smooth coordination of maintenance operations. This position is responsible for tracking work orders, ordering parts and supplies, maintaining inventory systems, and assisting in the scheduling of maintenance activities. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities:
Work Order Management: Create, issue, and track work orders for scheduled and unscheduled maintenance activities. Ensure all completed work orders are documented and entered into the maintenance management system.
Inventory and Parts Management: Monitor stock levels of parts, tools, and supplies; place orders to maintain adequate inventory. Receive, inspect, and record incoming shipments of maintenance supplies and equipment. Organize and maintain storeroom and inventory areas to ensure easy accessibility.
Data Entry and Record Keeping: Maintain accurate records of equipment maintenance, repairs, and inspections. Update equipment logs, preventive maintenance schedules, and service histories.
Vendor Coordination: Work with vendors to source and order parts, equipment, and supplies.
Track open purchase orders and communicate with vendors on delivery timelines.
Communication and Support: Coordinate with maintenance technicians, supervisors, and other departments to ensure work is completed on schedule. Provide administrative support, including generating maintenance reports and tracking key metrics.
Compliance and Safety: Maintain accurate documentation for regulatory and safety compliance. Ensure proper storage and labeling of hazardous materials, if applicable.
Qualifications:
Education: High school diploma or GED required; additional coursework or certifications in business administration, inventory management, or maintenance systems preferred.
Experience: 1-3 years of clerical or administrative experience, preferably in a maintenance, mining, or industrial setting.
Skills:
Strong organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with maintenance management software (e.g., CMMS) is a plus. Strong communication skills and attention to detail. Ability to manage multiple priorities and work under deadlines.
