JOB TITLE: Office Coordinator

JOB LOCATION: Child and Family Connections of Central Illinois Office #16, 201 West Springfield Avenue, Suite 508, Champaign, IL 61820

POSITION STATUS: Hourly/Full time, 40 hours per week

Child and Family Connections of Central Illinois is the regional intake agency for children birth to three and their families to enter the Illinois Early Intervention System. Each CFC is responsible for a specific geographical area. Early Intervention credentialed Service Coordinators work with families to develop an Individualized Family Service Plan and select service providers to meet the individualized needs of their child. Child and Family Connections can also assist with Social Emotional Consultative Services and free developmental screenings through the Local Interagency Councils.

Position Objective: The Office Coordinator position is responsible for office communications and to greet the public, and perform various secretarial tasks related to Child and Family Connections and the Local Interagency Council. This position is entirely grant funded through the Illinois Department of Human Services, renewed annually and is subject to any related changes.

Job Functions:

  • Assists with secretarial support for Child and Family Connections, Local Interagency Councils, and related Committees.
  • Responsible for the State of Illinois Cornerstone system updates—access, data entry, scheduling, reports, etc.
  • Completes necessary Purchase Orders for Program Manager approval.
  • Provides first-line customer service to internal and external customers.
  • Responsible for answering and screening telephone calls, taking messages, and relaying information to all CFC staff and other pertinent agency personnel.
  • Assists with accurate collection and timely entry, updates/corrections, transmission, storage, retrieval, and documentation of receipt of CFC and CBO data, including referral information.
  • Communicates with both the Federal Warehouse and State of Illinois regarding records retention, destruction, retrieval, and storage.

Marginal Responsibilities:

  • Sorts incoming mail and files all required reports.
  • Trains new CFC personnel on the use of office equipment, phones, and all office function
  • Develops and implements performance improvement plans to meet performance targets.
  • Responsible for the telecommunications system. Monitors automated records of telephone numbers and locations while arranging repairs.
  • Performs other duties as assigned.

Education/Experience Requirements

  • High School Diploma or equivalent, required.
  • Minimum of two years of secretarial/office coordination experience.
  • Working knowledge of personal computers and software (MS Office Suite and Cornerstone System).
  • Various clerical skills including, but not limited to, accurate typing.

Competency Requirements

  • Maintain confidential information to safeguard clients and families.
  • Responsible for keeping resources and client files in order.

  • Must have visual ability sufficient to read and complete written correspondence, reports, etc., and computer screen information.
  • Frequent use of hands to grasp, handle, or feel.
  • Regular standing, walking, sitting, and reaching.
  • Occasionally lift and/or carry up to twenty-five (25) pounds.

Work Environment

  • Primarily operates in office environment with little exposure to excessive noise, dust, temperature.
  • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
